Checking for malfunctioning electrical wiring

Sometimes what happens is that for a short time, your POS System stops and starts up again.

Several things can cause this, but a common cause is often a cable being loose or deteriorated.

Loose

Here it is not out as such but only slightly loose. When something knocks it, it goes out for an instant. This is because retail shops are busy places. People are in a hurry and often over time move cables often as they add more cables.

Check that your cables are firmly into your POS devices and electrical plugs if this is happening to you.

Deteriorated

Many factors can cause a cable to deteriorate. 

Age can do it, but it is more likely to be something like moisture, people moving the cable, heat or rats. I have seen them all. Over time, the insulator that protects the wire then the wire becomes damaged. Once this happens, problems show. Then this can be very dangerous.

I find a helpful check here is a visual inspection of the cable and area. Rats leave black spots. Also, check for an offensive odour. 

If you think something is wrong here, you should replace the cable immediately.

Why you defer feature updates in Windows

Unfortunately, Windows updates are two steps forward and one step backwards. They do come with good features and improved security, but every now, they break things.

As we have seen in the latest Windows update, some of our clients reported that their printing has stopped working. It turned out that the newest window updated caused problems with the network. After research, we found the fix was uninstalling fix KB5006670. Once done, our client could now print.

Now, if you are like me, you prefer others to test the latest Windows updates. This gives time for the bugs to be squashed and tweaks set correctly, so what you do is delay those updates.

How to pause Windows Updates:

To do this, open the Windows Settings app and select

Update & Security > Windows Update.

There you will find a "Pause updates for 7 days" button. (See above the option highlighted with a green arrow.)

Activate that!!

Also, another tip, try to do Window updates only on Tuesday, Wednesday and Thursday morning. This means that if something goes wrong, you can contact your computer technicians.

Scam alert

This scam is bothering many people now, so I thought I better warn you. 

A scammer knew an employee's email account details. He monitored the account. Then using this email account, a hefty invoice was sent out to a client. The scammer then sent the invoice out again with an altered bank account. 

In this case, $400,000 went missing.

There was also a failed attempt at $350,000 here. It was lucky that immediately before the transfer to a supplier nominated bank account, a staff member looked at their deleted email file. Then they saw the real client invoice with different bank account details and started to ask questions.

Currently, I have been told that in Australia, there is no case law on liability here. One of the big problems here is that neither side has benefited from the fraud. None has the money. Both sides are seen as negligent. The seller for not having enough security on their email account and the buyer for not checking the bank details. This means that the chances of returning the funds could be limited.

Yet, it does show that you need to track security on your email accounts and check bank details thoroughly before sending money.

How to write a Professional Business communications

One task that many of us find difficult is writing business messages for special occasions.

You do not want to give an unprofessional image to your business. 

If the occasion is uncommon, often we do not know what to say. The other issue is that most of us are not that good at laying it out professionally. 

Here is what I often use in these situations. I have an old copy of Microsoft office 2010. For my use, it is sufficient. I then go to Microsoft templates here. 

There is a lot to choose from there.

I look for something suitable and use that.

It is free, so why not!  

There is a bit of mucking around, but it is much better than starting with nothing.

I hope this helps you too to write more efficiently and productively.

Mix or Match? Consumer Spending Decisions in Conditional Promotions - Sokolova - 2021 - Journal of Consumer Psychology - Wiley Online Library

As it shows that it works better than "Buy two, 10% off both".

You would think that they are the same, what is the difference to a customer of

1) Buy two and get 20% off the cheaper one.

2) Buy two, 10% off both".

But the answer is no.

The study showed that the sales number were about the same in both cases. Yet shoppers, when offered the "Buy 2 and get 20% off the cheaper one" offer, tended to choose a second item that is more expensive. This increased their return from the 20% discount.

So for the retailer, the sales total went up.

Be careful of the quick change scam

I think we all have come across this scam, I have as a kid while working in my grandfather shop but it is only recently that I discovered that it had a name.

The scammer tries to confuse the cashier by paying for an item with a low price with a large cash bill. Then the scammer gives back the change. He then tries to confuse the cashier with a series of money exchanges. The idea is to get a lot more change than he should get. People like me a little inexperienced kid of seven, then, on the cash register was a perfect target.

The best thing to do is make sure you simplify the transaction. Tell him you gave me $X. I gave you the item and this amount of change. What helps here is to have cameras pointing on the counter so you both can review the transaction. We sell such cameras.

See how to do a quote quickly and accurately in your shop

You can do quotes with your POS software with ease and accuracy. 
Providing a professional pricing quotation to interested people can lead to future business. 

Also, discussing a quotation with your customer allows you to understand what is needed. 

Quoting costs nothing. Often whether your quote is accepted or not, you are on the person radar. This is why doing a quotation is often a great introduction for your business. 

The problem, see illustration above, is that when you manually quote a client, much information is often unavailable. Plus, it is much easier on a computer if changes need to be done. 

-First, call up the customer.
-Select the make invoice button that returns you to the customer select page. 

Now you can create or edit an existing quote by pressing the edit button in the history view tab. Editing is much faster than making a new quote, so people often edit completed orders.

As a final note, state any restrictions or conditions relating to the quotation. Make these clauses as few as possible as every one of these clauses is a reason for the customer not to buy. I would recommend adding that your quote is only valid for a certain period.

How to make a detailed receipt

So as the diagram shows above, you press the print button to get a receipt.

Yet, many small businesses want a formal invoice to show what they purchased. Then they want a receipt (for GST) to show they made payment.

You do not need to print both with us.

Instead, use the detailed receipt in our system, which is instantly available. Click on the "Receipts" button, find the receipt you would like to print, then press the "A4 Print" button.

Now you will then get an A4 ticket to print.

Tips to secure your EFTPOS terminal scam

I have warned people before about this scam. But, unfortunately, it has happened again, so it is worth repeating. 

Here is video footage and the story of  how two people swapped a merchants EFTPOS terminal with a scam EFTPOS terminal that they controlled. It is worth studying what happened. See how this swap took these guys 10 seconds.

As these scam EFTPOS terminals are freely purchased online, they do not need to be a computer wizard to do this today. 

It can cost the merchant a lot of money. EFTPOS suppliers view is that this is the merchant fault as they are supposed to look after the terminal. It actually states so in your contract.

Here are four tips to help stop this:

- Put a label on the EFTPOS terminal and write by hand your shops name on it. The worse the handwriting, the better. This makes it harder to swap as they need then to forge your label and signature, making your terminal a unique item.

- Make sure that your terminal is not easily accessible to strangers. For example, here, the terminal was available and *NOT* under any supervision.

- Make sure that it is clear that a camera is monitoring the area where the EFTPOS terminal is located. Few thieves will attempt something like this if they know it is under the camera.

-Whenever possible, have the terminal locked up.

How scents can increase your shop's productivity!

Scents are used in modern retail to increase sales. For example, in front of the sweets counter, some retailers put a licorice scent to increase sales. 

What is interesting is that studies here {Link was removed} show that smells increase work productivity. If you think about it smell does affect the mood, how we feel, and how we act. I know a bad smell can make me feel irritated and angry?

Looking at the list here, the best one for productivity appears to be peppermint.

The other problem here is that the chocolate scent which is good for retail marketing is not suitable for productivity. If you use this chocolate scent for marketing, consider switching to licorice.

If you want to try it, look at this chart summarizing the effect of 12 different scents, check it out the one you want, then get an air freshener as above, place it and see how it goes.

Be very careful about eliminating your cable clutter

This is a common problem today. If you look behind the scenes, what you will often see is a heap of cables. What has happened is that someone has laid some wires. Then someone else has put in some more lines. Then someone else etc.  Over time a mess of cables appears with no one sure of what is what.

Some people try to clean up. Do not be such a person! You might be right that a particular cable is not in use, but you can never be sure. It is all too easy to pull out a power cable, a data cable, security cable etc. Every cable has a story. It had a reason for being there. So before removing a cable, you need to know what it does.

I have a client now that got into some trouble over having taken out another shop's security camera.  

If you do have to remove wires, consider instead moving them out of sight.

Also, look at cable ties which are a cost-effective way to organize cables. If so I would suggest that you don't use single-use plastic ties as these are not adjustable.

Issue your own gift cards to increase sales

Have you ever investigated issuing your own gift cards in your shop?  

It widely used in Pet Shops where many of my clients use our point-of-sale system to sell their own gift cards. It is straightforward and easy to do. 

They use it as it increases sales and helps generate repeat business. 

Here are a few advantages.

1) Customer with a gift card often visit the shop more than once to redeem the card balance? 

2) Most gift card buyers and recipients tend to buy more than the face value of a  gift card. Studies show about 30% more.

3) Some gift cards are never claimed, so becoming pure profit. Industry figures are about 2%. If your average margin is 25%, then that increases your margin to 26.5% 

4) You can use them instead of a discount, offer say for every $50 purchased, a $5 gift voucher free.  It's a better deal for you than a $5 discount.

5) They make good discount voucher, better than giving away money.

6) Expand your market. Rather than give local charity money, why not provide them with a gift voucher to entice them to shop with you.

Why use splitting of bills in your shop?

Did you know when you at the cash register, you can split a payment?

Splitting the bill with several people is commonly used by our restaurant clients. It can help any industry. 

Unfortunately, most retailers dislike it. It takes time to divide up the bills as it always promotes discussion. Doing the payment takes longer. Plus it makes it hard to assign responsibility to anyone if the payment goes wrong.   Another point in restaurants is that people that split bills tend to be lousy tippers. 

Still, it can be helpful if someone has not got enough cash to pay for an item. Well, why not let them pay using cash and on a credit card?  

Also, many of your customers do like it. Many do often want to pay only for their bit. 

However, it is an excellent point of sale (POS) feature and the software will help you work out the correct amounts per person.

Try it out, and I am sure you will find it useful.

If you deal with people that buy in groups, you will find it soon a necessity.

Professional systematic Retail Counter management: Use it in your shop.

We offer in your POS Software, a professional systematic retail counter management!

Consider this your counter is where people are buying. In retail, it's much easier to sell someone something if they are already buying something. This presents you with an opportunity to increase your sales.

It is the destination point for your shop.

At that spot, think of what you can offer your customers.

Your suppliers know this. If you let them, almost all your suppliers will get you to put their product on the counter.  Great for them but not for you a good strategy.  

Any item on the counter should be marked to the counter for monitoring. This is your prime area, make a philosophy that for an item to be on the counter, it must be good. To do this, you need to track the sales of these products.

Here are some points for the counter here.

-Try to make the counter bigger. The bigger the counter, the more you can sell here.

-Remember to experiment. Only the best products survive here.  

-Go to large shops that sell items like you. Note what they offer here and how they present it. This will give you some ideas immediately.  

-This area is for impulse-inspired sales. It needs stock items that attract customer attention. What you want are products that do not make much debate by the customer. They should be items that customers want or need, such as novelty items, hand-sanitiser,  plush toys, etc. 

-You need items at your customers' price point.  You will need to experiment with this as the price point on the counter are different to the shop.

Every week or so, go to cash register reports > Sales stock > Sales by Store location for a given period as above.

Put in a reasonable time frame. Start longer than you think you should use. As you bed down, the counter management gradually move to a better period.  Now study this report. Over time you will see a lot of good information.

Importance and benefit of using your fixed asset register

We provide free in our software an Asset Register. This is because businesses of any size need to manage a variety of assets.

An asset register is a listing of all your fixed assets. This then is used to summarise both accounting and deductible taxation depreciation expenses. Your accountant then uses this to calculate the book values of your assets. 

One point I do recommend that you should mark your assets with a permanent sticker. This practice can be a valuable loss prevention tool.

I would recommend non-removable metal stickers work well or use an engraver.

The metal stickers are dearer but look better. What you want is your asset number and your name on the label.  

Engravers are about $35 in your hardware. They do not look as nice.  It does take longer too. 

Using it will be a great way of keeping you better organised.

How to mark perishable items in your shop

 Refrigerated items such as packaged foods products require you to do special handling.

- It also requires sometimes for you to prominently mark on your label something like “Perishable - Keep Under Refrigeration.” 

- It often requires close monitoring of these items once they pass a certain date. Then they must be transferred to a secondary location so they can be sold at a discount price. Then this has to be monitored as after a certain time they often require to be tossed. 

So what can you do about it?

What we recommend is that you identified and mark these refrigerated items. 

This is so you just by looking at the item on the screen know that these items may require special handling.

You’d do it like this:

Go to stock maintenance in your point of sale software -> Edit marked them as in the red box.

How Fast is Your POS System and what to do about it?

How Fast is Your POS System?

Industry-standard is 40 seconds a transaction plus three seconds for each item.  So if a sale has three things, the time is about 40 seconds plus three things in their basket which is 9 seconds. Thus you are looking at about 50 seconds. 

Consider this:
 80% of customers state that they are unwilling to wait in line if it takes longer than five minutes. So if your queue is six people, there is an 80% chance someone will walk out.

Sometimes, the retailer needs speed.

So how does your point of sale transaction speed stack up?

I took about 20,000 cash register transactions off one of our client's system.  Here is what the graph above looks like for transaction speeds. As you can see, our average speed of transactions was 36 seconds a sale.  In a pinch, our client was doing much better.

On speed, I am sure we match any system on the market.

Now here are some free and low-cost ideas you can do to speed up the transactions. 

- Often a better arrangement of your computers can help, use your faster computers upfront. 

- Use scanning more. It is faster. Put barcodes on more items.

-Consider having several cash-draws on one computer. Besides having better security, it means in a pinch; you can have more people working the tills.

-Integrate your EFTPOS and use Tap and Go. Besides reducing errors, it is much faster. 

-Use at the counter touchscreens. It is more natural and faster.

-Switch to email and/or our new free SMS receipts.

So say you have a question that you want to discuss with this company? What you need to do is get the contact information for that person. Well, you can look at your business card list, which takes time and mucking around. 

Here is a better idea when you get the business card. Call up the company in the creditor section of your POS software. Then add the person's details in the contact section.  You have a lot of space there, so if you need a few, you can add them, eg.

Now when you need to call, go to your computer, and get their details instantly.

Why it is best to run your POS System as isolated as possible

When your Point of Sale System was set up, we did much to get it to work, and many decisions were made.

A few days ago, in a cafe running our system, a staff's boyfriend added an email processor to the system. It brought the whole system down. All that was required was one change in a drivers device.   It took a long time to get that system back to work.

Besides, it is a business system! If a staff member wants to access their private emails, tell them to use their smartphone. You can make a staff and/or public WI-FI account just for this purpose.

When your Point of Sale System was set up, we did much to get it to work, and so many decisions were made. Some are crucial.

A few days ago, in a cafe running our system, a staff's boyfriend added an email processor to the system. It brought the whole system down. All that was required was one change in a drivers device.   It took a long time to get that system back to work.
