News Corps latest offer to newsagents does have one very good plus. News Corps are allowing advanced billing. My feeling is that this advanced billing will be extended further over time, into a newspapers subscription model.

From the retailers’ view, it is a good step forward. You are paid in advance by the customer so there are no bad debts because papers are only delivered if paid.

Both DOS and Windows systems can handle advanced billing. Both have inbuilt word processing and mailing to notify your clients of the change.

We are holding next week's user meetings for both Windows and DOS to explain how to do it.

I just spoke to a client about magazines miss after doing returns. I showed him some special reports that are great in making sure you do not miss any magazines due for return.

What they do is while doing returns, they show you what is due for return, but so far missed.

Another use is that they tell you what is shoplifted.

Garth wrote a detailed information sheet which is now available that explains more about it.

Note there is in the DOS system, in the magazine section a missing report too.

Very soon, the major magazine companies have announced huge changes in the returns procedure for newsagents.

Although our clients are lucky that we have the best magazine control and return system as seen by a recent study that showed they were returning fewer unsold magazines. Still many just use the basics and do not know how to use our systems to their fullest potential.

Used properly the magazine returns section in our software can save our clients many tedious hours of monotonous work. It is also important in helping them manage cash flow. One comment make by a new client who I blogged about here was since he came to us, he saved in his first month several hundred dollars on his wages bill.

The latest XchangeIT user manual for newsagency software was sent out. Unfortunately, it was so big that some had trouble downloading it. So what I have done is reduce it. What is great about the net for support is often I can do one job for many almost as quickly as for one. As I am sure others will want it too. So I have made it is available.

For those people that know XchangeIT, it provides a useful introduction to what it now can do. I was particularly impressed with its easier resending of old invoices.

The purpose of our Cardplai software is to let you run it in the cash register.

As many of you know, Fairfax have recently introduced many changes to their subscription.

I deal with many people who use the original version of POS in dos. They often call up explaining they have missed a day of delivery charges because of being on holiday, user error, or forgetfulness. This is no longer an issue in Pos Browser.

To get to the Automatic Settings section, follow these steps:

Open the side menu
Select the Customers tab
Double click on Customer utilities
Select the Automatic Settings option

In here, you can set automatic round charging, automatic account stops, and automatic late payment fee application.

Automatic round charging:

Select the first date you wish to begin your automatic charges

Input what time of day it will run (remember it is best to run this after the workday has ended)

Enter which day you will charge for (default set to today).

After you put in the correct information, simply click the Apply button.

The other two functions in this window work on the same principle as above.

Today Ajmer and Raj from Seddon Newsagency came in for a training session with Leon and I. They had many queries regarding subagent payments and transactions, general stock and customer maintenance, and updating the input devices currently in their shop.

One issue they had with subagents is a common one. When subagent payments are made in parts and not in full, this can create a problem with their balance (where incorrect values are shown). One way to fix this is to make a statement every time a subagent makes a payment. Alternatively, Leon suggests, as newsagency owners, you should send out a notice to your subagents informing them they must pay in full on a constant basis. You should not demand this immediately though; give your subs some time to prepare.

After the meeting, Ajmer and Raj seemed much more confident with the system. They were happy to have their problems sorted out and the extra information (instruction manuals, etc) we gave them will hopefully allow them to keep their business running smoothly.
